

Landlord & Property Manager Appliance Repair Process
Appliance Recovery of Nashville LLC provides appliance repair services for landlords, property managers, rental properties, and tenant-occupied homes throughout our service area. To help appointments run smoothly and ensure clear authorization for service and payment, the following process applies.
1. Service Request & Property Information
When requesting service, please provide:

Property address

Appliance type and issue
-
Tenant or onsite contact name and phone number

Whether the property is occupied or vacant
-
Entry instructions or access code, if applicable

Name and contact information for the person responsible for payment
2. Scheduling With the Tenant
For tenant-occupied properties, our office can communicate directly with the tenant to arrange an available service date and arrival window.
Once a date and time have been agreed upon, the landlord or property manager responsible for payment will be notified so the appointment requirements can be completed.
Our technician will generally contact the tenant or onsite contact approximately 30 minutes before arrival.
3. Diagnostic Fee
The residential diagnostic fee is $99.95 per appliance, per service location.
The diagnostic fee includes:

Technician visit

Inspection of the appliance

Diagnosis of the reported issue
-
Repair estimate when applicable
The diagnostic fee is due on the date of service.
If the recommended repair is approved within 30 days, the diagnostic fee may be applied toward the approved repair according to the terms provided with the estimate.
4. Credit Card Authorization for Off-Site Landlords & Property Managers
When the landlord, property manager, or person responsible for payment will not be present at the property, a valid credit card must be securely placed on file before the appointment can be confirmed and before a technician is dispatched.
Once the service date has been agreed upon, we will send a secure credit card authorization link to the responsible party.
The authorization allows Appliance Recovery of Nashville LLC to charge the card for the amount that has been authorized or agreed upon for the scheduled service.
If the required card authorization is not completed before the appointment, we will be unable to dispatch a technician until the authorization requirement has been satisfied.
For security purposes, please do not send credit card information by text message or email. All card information should be submitted through the secure authorization link provided by our office.
5. Diagnosis & Repair Approval
After the technician completes the diagnosis, a repair estimate will be provided when additional work, labor, or parts are required.
No additional repair beyond the authorized service will be performed without approval from the landlord, property manager, or responsible party.
If the repair is approved, we will provide information regarding:

Repair total

Parts required
-
Expected parts availability
-
Deposit or payment requirements, when applicable
-
Available return-service dates
6. Parts & Return Appointments
If parts must be ordered, the repair appointment will be scheduled after the required parts have been ordered or received.
Part pricing and availability can change. Repair estimates are generally valid for 30 days, and pricing or availability may be subject to change after that period.
If updated pricing is required, the responsible party will be informed before the repair proceeds.
7. Payment
Payment is due according to the terms provided for the scheduled service or approved repair.
For landlords and property managers who are not onsite, the securely authorized card on file may be charged for the agreed-upon amount on the scheduled service date.
Appliance Recovery of Nashville LLC does not offer Net 15, Net 30, or Net 45 payment terms unless a separate written agreement has been established in advance.
8. Vacant Properties
For vacant or unoccupied properties, please provide any necessary:

Lockbox information
-
Entry codes
-
Key instructions
-
Gate access information
-
Parking instructions
The property must be safely accessible when the technician arrives.
9. Tenant Authorization
Tenants may assist with scheduling and provide access to the appliance; however, unless otherwise authorized, tenants are not considered responsible for approving repair costs or payment when the landlord or property manager is the designated responsible party.
10. Appointment Changes
If the tenant, landlord, or property manager needs to change the scheduled appointment, please contact our office as soon as possible.
Appointments remain subject to our standard scheduling, cancellation, access, parking, and service policies.
